The story in brief

FM4U is a facilities management business based in the North East, delivering reactive works, planned maintenance, compliance-led services, and contractor support for a growing client base. The business works heavily with schools, where safeguarding, holiday access, compliance, and fast response times all matter.

 

Since 2020, FM4U has grown quickly. The team has expanded from around five people at the time of a company ownership change to 18 staff today, supporting more than 500 client sites and a large subcontractor network.

 

Joblogic sits at the centre of FM4U’s day-to-day operation, supporting jobs, quotes, PPMs, compliance, reporting, contractor management, accounts, and reactive work. More recently, FM4U has also moved its out-of-hours call handling to Joblogic’s help desk service.

 

For FM4U, the difference has been the human touch. The out-of-hours team understands Joblogic, works from FM4U’s client instructions, and helps separate genuine emergencies from jobs that can wait for the in-hours team.

Their challenge

Before Joblogic, FM4U relied on an external out-of-hours call handling service that mainly answered calls and logged jobs, with limited understanding of its clients or operations. Dropped calls and poor triage created risk, so FM4U needed a team that could follow client instructions, assess urgency, escalate emergencies and maintain service quality outside office hours.

How Joblogic helped

Joblogic’s out-of-hours team understands FM4U’s operation, follows client instructions and assesses whether calls need immediate action or can wait. Urgent issues are escalated, non-emergencies are logged for the next morning, and FM4U receives a clear overnight report. The service is continually refined, with feedback addressed quickly and directly.

The outcome

Joblogic has given FM4U greater confidence in how emergency call-outs are handled. The team is friendlier, more proactive and better able to assess urgency, escalate issues and provide a clear morning handover.

Challenge

Schools make up a large part of the client base, where safeguarding, access, compliance, and holiday works all need careful handling. 

Overnight calls can range from genuine emergencies to jobs that can wait until the next day. 

The previous provider could answer calls, but had limited understanding of FM4U’s operation and how jobs moved through Joblogic. 

FM4U needed stronger triage, clearer escalation, and a better morning handover. 

Feedback and service improvements needed to be picked up quickly, without defensiveness.
