Keep Organised Asset Registers
The key to accurate maintenance planning is an organised asset register. When taking over a planned maintenance schedule on a site, it's typical to be given an asset register that is incorrect. Joblogic's planned maintenance software (also known as CMMS software) enables your engineer to survey a building and collect the asset data on their mobile app. They can even QR code each asset and record model, location, serial number and installation date. If you need to plan out maintenance to a standard, using SFG20, we can import the task data for each asset. This means that when your engineers carry out the maintenance they will be able to see all of the associated tasks for each asset on their planned maintenance app.
Create an Efficient Maintenance Schedule
Joblogic allows your schedulers to select the frequency of visits for each specific customer site. So whether it's daily, weekly, monthly or quarterly planned maintenance, the job scheduling system will create these visit dates for you. Automatically lock in the date and time of mandatory tasks and manually lock non mandatory jobs to ensure they can't be accidentally rescheduled or overlooked.
Toggle between a weekly or monthly view of scheduled jobs for a comprehensive understanding of upcoming jobs and capacity. Filter your view by assets and tasks allocated to each job. Once you've got your visits planned in, it's easy to allocate assets or equipment to each one. Import options mean that any existing schedules held electronically may be added via an import template reducing the amount of manual data entry required. The schedule provides a visual indication of job status against each asset & task, so you can easily see if a job has been completed, needs approval etc. Joblogic stores a forecast time for each asset so you can see exactly how long a job should take - this allows you to allocate your resources accordingly. Once a schedule is created, Joblogic preventive maintenance software will generate new visits which can be easily dispatched to your engineers at the click of a button.
Create PPM schedules as part of the quote/contract wizard by importing previously created file templates or create a template in Joblogic. When a PPM contract is created, data from the template will be used to generate planned visits in the schedule, including information like site assets and service types. Easily share PPM contracts with customers by exporting to an Excel file or sending them an email with a direct portal link.
Deliver Task-Driven Maintenance
For some contractors, preventive maintenance planning can be fairly simple. Soft field maintenance providers, such as landscaping companies, will deal more with task-driven maintenance and won't be concerned with a customer's assets. If this is the case, simply select your visit frequency for each site and enter the tasks that need to be completed each time. These could include cleaning jobs or site inspections, for example.
Tasks with more importance can be marked as mandatory. This means that engineers won't be able to complete a job unless the task(s) has been marked as completed or a reason has been provided for why it could not be completed.
Bill & Renew Your Contracts Easily
Billing your maintenance work with Joblogic is so simple. Our contract billing feature means you can set up a regular invoice based on a frequency to a customer for one or many sites, create a fixed price against each maintenance visit so that you can invoice them each time upon completion or select the no billing option if no invoicing is required. Invoices can also be marked with the billing type "In Advance" or "In Arrears".
If your planned maintenance is part of a fully comprehensive contract, you can easily record the costs of the maintenance to your business but not invoice the actual job. Once a maintenance schedule is set up it's also really easy to renew it. At the end of the term, you can review the schedule and roll the dates on for the following year.
