The story in brief

Kelly RAC  is an Irish HVAC and refrigeration specialist, supporting customers across sectors including retail, education and healthcare. Founded in 1990, the business has grown into an established industry leader in Ireland, delivering nationwide maintenance support through a dedicated team of HVAC engineers.

With customers relying on its services 24/7, all year round, Kelly RAC needed a system that could help the team manage jobs more efficiently, support engineers in the field and maintain strong visibility across daily operations. Having used another management system previously, the business began looking for a solution that could better support the specific needs of an HVAC and refrigeration operation, particularly around refrigerant gas tracking and compliance.

Joblogic provided the tools Kelly RAC needed to streamline scheduling, improve communication between engineers and the back office, and manage key processes in one connected platform. With features such as F-Gas tracking, the mobile engineer app, purchase ordering, job tracking and asset management, Kelly RAC has been able to save time, reduce paperwork and improve productivity across the business.

01
Their Challenge
Kelly RAC had used another management system before, but it did not meet their needs around tracking refrigerant gas usage. As workloads increased, they also needed a quicker way to schedule jobs and keep the office informed without engineers returning to base.
02
How Joblogic helped

Joblogic gave Kelly RAC the tools to schedule and allocate jobs directly to engineers using the live planner, while engineers used the mobile app to keep job statuses updated in the field. The team also adopted F-Gas Tracking for refrigerant reporting, plus purchase ordering, job tracking, and asset management to improve parts handling, visibility of job progress, and asset record keeping.

03
The outcome

Kelly RAC reports saving time and money each day, with a notable improvement in productivity. Engineers can receive jobs on their mobile devices, update job status, and complete notes, timesheets, parts, photos and signatures electronically, which reduces the risk of errors linked to paper-based methods.

Challenge & Opportunity

Challenge

Kelly RAC needed better compliance tracking and faster scheduling than their previous system could support, while keeping engineers and the office aligned day to day.

Previous system did not support effective refrigerant gas tracking

Compliance administration created unnecessary burden

Scheduling and job allocation needed to be quicker

Office needed live status updates from engineers in the field

Paper-based methods increased the risk of human error

Icon
Opportunity

Kelly RAC needed one platform to manage F-Gas compliance, plan work effectively, and capture job updates and paperwork in real time through mobile.

Track refrigerant gas use properly with built-in F-Gas tools

Use a live planner to allocate the best-suited engineer to each job

Capture notes, time, parts, photos and signatures on site

Improve job visibility with live status tracking from start to finish

Strengthen asset records and reporting with on-site capture into an asset register
